Why payslips matter beyond the pay cheque
Every employee in Jamaica has the right to a written statement of earnings and deductions for each pay period. Payslips serve purposes well beyond telling an employee what they were paid:
- NHT mortgage applications — the NHT requires payslips as proof of NHT contribution history when an employee applies for a housing benefit or mortgage
- NIS benefit claims — sickness, maternity and retirement benefits from the NIS require evidence of contribution history, which payslips document
- Income tax assessments — TAJ may require payslips to verify PAYE deductions during an employee's personal tax assessment
- Loan and credit applications — banks and credit unions require payslips as proof of income and statutory contribution history
- Employment disputes — payslips are evidence in wrongful dismissal or underpayment disputes
Employer liability: Failing to provide payslips, or providing payslips with incorrect deduction amounts, exposes the employer to disputes with employees and to TAJ assessments if statutory remittances don't match declared salaries.
What every Jamaican payslip must include
- Employer name and TRN
- Employee name and TRN
- Employee NIS number
- Employee NHT number
- Pay period covered — start and end date
- Pay date
- Gross salary or wages — before any deductions
- NIS employee deduction — itemised separately
- NHT employee deduction — itemised separately
- PAYE (income tax) — itemised separately
- Education Tax employee deduction — itemised separately
- Any other deductions — loan repayments, health insurance, pension contributions — each itemised
- Total deductions
- Net pay — the amount actually received
- Employer NIS contribution — shown for transparency
- Employer NHT contribution — shown for transparency
- Employer Education Tax contribution — shown for transparency

Statutory deduction rates at a glance
| Deduction | Employee Rate | Employer Rate | Applied To | Remit To |
|---|---|---|---|---|
| NIS | 3% | 3% | Gross (up to ceiling) | NIS Fund |
| NHT | 2% | 3% | Gross emoluments | NHT |
| Education Tax | 2.25% | 3.5% | Gross emoluments | TAJ |
| PAYE | 25% / 30% | — | Chargeable income | TAJ |
All deductions must be remitted to the relevant authorities by the 14th of the month following the pay period. Late remittance attracts penalties and interest.
Employer contributions — what employees should see
Employer contributions to NIS, NHT and Education Tax are not deducted from the employee's salary — they are an additional cost to the business. However, showing them on the payslip is good practice for two reasons: it demonstrates to employees the full cost of their employment, and it creates a record that the employer is aware of and calculating their obligations correctly.
Employees making NHT mortgage applications in particular benefit from seeing the employer NHT contribution confirmed on their payslip.
Common payslip mistakes
- Missing TRN or NIS/NHT numbers — employees cannot use the payslip for official purposes without these identifiers
- Grouping deductions as "statutory deductions: $X" — each deduction must be itemised separately. A single combined figure is not acceptable for NHT or NIS claims
- Incorrect PAYE calculation — PAYE is calculated on chargeable income after NIS deduction and the personal allowance threshold, not on gross salary directly. Many manual calculations get this wrong
- Not showing the pay period — a pay date without a pay period makes the payslip harder to use for contribution history verification
- Handwritten or informal payslips — while not illegal, informal payslips are routinely rejected by NHT and banks. Typed, formatted payslips are always preferred
How Folio generates compliant payslips
Folio's payroll module calculates all four statutory deductions automatically using current Jamaican rates. After running payroll, PDF payslips are generated for each employee containing every required field — employer TRN, employee TRN, NIS number, NHT number, gross pay, each deduction itemised, employer contributions, and net pay.
Payslips are available to employees through the self-service portal immediately after payroll is processed. Employees can log in, view and download their own payslips without contacting HR. This eliminates the most common HR request in any small business — "can I get a copy of my payslip?"
Folio runs on your own cPanel hosting, is sold as a one-time purchase, and pairs with CWFMS to automatically post payroll expenses to your accounts without double entry. Explore the full payroll module at cwfms.com/folio-demo.php.
